Hospitality · Event enquiries

We build venue pages and enquiry forms that ask the right questions up front, then track every lead until it is won or lost. Your sales team knows the date, headcount and budget before the first call.

In plain words

Event enquiries,explained without jargon.

What is an event enquiry system for a hotel?

One idea at a time. Each sheet lays over the last, so the picture builds up. Tap a number to jump.

Think of it like this

It works like a wedding planner's diary that fills itself in and nudges you when a family is waiting for a quote.

01 / 04

It is everything between a planner finding your venue online and your team sending a proposal.

02 / 04

Venue pages show each space with capacity by seating style, photos and floor plans.

03 / 04

The enquiry form asks for event type, dates, guest count, rooms needed and budget range.

04 / 04

Each enquiry becomes a lead with an owner, a status and follow-up reminders, so nothing depends on someone's memory or notebook.

Signs you need it

Heard yourself say this?Count how many fit.

Five things owners tell us before a project like this starts. Every one you recognise adds a tally mark.

What you receive

Six parts, all handed over to you.

Your Event enquiries work is made of these six parts. The comb lights each one in turn; tap a cell to read it.

Venue and space pages

Each hall, lawn, terrace or boardroom gets a page with capacity for theatre, classroom, round tables and cocktails, plus photos, dimensions and AV details. Planners can compare spaces quickly.

  • Venue and space pages
  • Event-type enquiry forms
  • Lead tracker with reminders
  • Date hold and clash check
  • Proposal and package templates
  • Gallery of past setups
How it runs

Four legs of one relay, about 5 weeks, start to finish.

Each leg is sized by how long it usually takes. Watch the baton go round, or tap a leg to jump there.

The decision

The question we hear most:Where should your event leads live?

The board turns through each option. Tap one to hold it and read the trade-off.

Pick this when

You get a few event enquiries a month and one person handles sales.

The trade-off

It does not scale well and depends on people updating rows by hand.

What shapes the quote

Four factors, four corners of your project.

Each corner grows when that factor is on the larger side. The outline is your project's footprint, and the quote follows it.

Footprint

A compact project. The smallest footprint for your quote.

An example

Picture a business like yours,in three frames.

A typical situation, not a client story. The line in each frame goes from tangled to straight as the work is done.

A Coorg resort that hosts weddings and corporate offsites

Common mistakes

Four things that trip a project, and the fix we fit instead.

Each fuse is a mistake we see often. Watch it blow and get replaced, or tap a fuse to read the fix.

Trips when

Using one long form for every type of event

How we avoid it

Ask wedding, conference and social event planners only the questions that fit their event.

Cost & timeHow long does this take and what affects the cost?

Most projects take 3 to 5 weeks. The number of venues, how many lead sources we connect, the depth of CRM setup and whether you want a quote calculator decide the size of the work.

Getting startedCan enquiries from Instagram and WhatsApp go into the same tracker?

WhatsApp Business API messages and website forms connect directly. Instagram messages can be routed through tools that support Meta's messaging APIs, and anything else can be added by staff in a few taps.

Cost & timeCan planners see prices on our website?

You can show starting packages or per-plate ranges if you like, or keep pricing for proposals. Many venues show what is included and invite an enquiry, since final costs depend on date, menu and room blocks.

In IndiaWhat about GST on event packages?

Banquets, catering, rooms and venue hire can carry different GST treatment, and companies will want proper tax invoices with their GSTIN. Check with your adviser so your proposals and invoices show tax correctly.

Getting startedAre there licence points to mention on event pages?

Liquor service, music licensing and late-night permissions vary by state and venue. We can add a clear note that the venue will advise on permissions, but the rules themselves should be confirmed with your adviser.

Getting startedHow do you handle the personal data of couples and planners?

Forms ask only for what sales needs and include a clear notice on how you use it, in line with the DPDP Act. Access to the lead tracker is limited to your sales team.

OwnershipWho owns the CRM and the leads?

The CRM account, website and all lead data are in your business name. If staff leave, their leads stay with you and can be reassigned.

After launchHow do you support our sales team once it is live?

We check the pipeline with your sales team after the first few weeks and adjust forms and stages. On a care plan we update venue pages, seasonal packages and integrations, and you can cancel anytime.
