We build a private ordering portal where each dealer and distributor sees their own price list, schemes, stock and outstanding balance. Orders land in your ERP or Tally with GST details complete, ready for dispatch.

Five things owners tell us before a project like this starts. Every one you recognise adds a tally mark.
Tap the lines you have said this year.
One fits. Worth a short call to see if Dealer & distributor portals is the right fix.
Two fit. A short call will tell you whether to do this now or later.
Three fit. This is probably worth planning soon.
Four fit. You are losing time to this already.
All five. This page was written for you.
Dealer & distributor portals, explained without jargon.
What does a dealer portal actually do?
One idea at a time. Each sheet lays over the last, so the picture builds up. Tap a number to jump.
It is like giving every dealer their own counter at your factory, staffed around the clock, that already knows their account.
A dealer portal is a website that only your approved trade partners can log in to.
Once inside, a dealer sees the products they are allowed to buy, at the price and discount agreed with them, along with what is in stock and what they owe you.
They place an order, and it reaches your sales and accounts teams in the format your system expects.
Your field sales team can also place orders on a dealer's behalf from a phone.
Six parts, all handed over to you.
Your Dealer & distributor portals work is made of these six parts. The comb lights each one in turn; tap a cell to read it.
Dealer login and account view
Each dealer logs in with a mobile number and OTP and sees their ledger summary, open orders, invoices and credit note history. Several staff at one dealership can have their own logins with set permissions.
Dealer-specific pricing and schemes
Prices follow your real rules: price list by dealer class, quantity slabs, scheme discounts with start and end dates, and special rates for named accounts. The rules engine is tested so nobody sees a price meant for someone else.
Stock and order placement
Dealers see availability by warehouse or as simple in-stock bands, if you prefer to hide exact numbers. The cart checks minimum order quantity, pack sizes and credit limit before submission.
Order sync with your books
Approved orders create sales orders in ERPNext, SAP Business One or Tally through their supported interfaces. Dispatch status, invoice numbers and e-way bill numbers flow back to the dealer's order history.
WhatsApp and email notifications
Order confirmations, dispatch updates and payment reminders go out through the WhatsApp Business API using pre-approved templates. Dealers who prefer email can switch.
Sales rep and admin console
Your area managers place orders for dealers, see their territory's sales and push scheme announcements. Head office manages dealers, price lists and approvals from one screen.

Picture a business like yours,in three frames.
A typical situation, not a client story. The line in each frame goes from tangled to straight as the work is done.

Four legs of one relay, about 14 weeks, start to finish.
Each leg is sized by how long it usually takes. Watch the baton go round, or tap a leg to jump there.
Four factors, four corners of your project.
Each corner grows when that factor is on the larger side. The outline is your project's footprint, and the quote follows it.
A compact project. The smallest footprint for your quote.
Mostly compact, with one area that needs more work.
A balanced build. Half the factors on each side.
A larger build. Most areas need extra work and time.
The full footprint. Every factor on the larger side.
The question we hear most:Should dealers see exact stock numbers or only availability bands?
The board turns through each option. Tap one to hold it and read the trade-off.
Your dealers plan large orders and need to know whether 400 units can ship this week.
Dealers may hold back orders when stock looks high or rush when it looks low, and competitors can learn your volumes through a friendly dealer.
You want to signal availability without exposing your inventory position.
Dealers with big orders will still call to confirm, so set a quantity above which the portal asks them to check.
Four things that trip a project, and the fix we fit instead.
Each fuse is a mistake we see often. Watch it blow and get replaced, or tap a fuse to read the fix.
Launching to the whole network on day one
Start with a small pilot group so pricing errors surface with friendly dealers first.
Writing orders straight into the ERP without a review step
Keep an approval queue until your accounts team trusts the data, then automate the routine cases.
Collecting dealer staff phone numbers with no notice or consent record
Show a short privacy notice at registration and log consent, since the DPDP Act 2023 covers dealer staff as individuals.
Building only for desktop because head office uses laptops
Design every dealer screen for a mid-range Android phone on a patchy connection.
Dealer & distributor portals questions, answered plainly.
Search the answers. If yours is missing, ask us on the call.
Cost & timeHow long does a dealer portal take and what affects the price?
Most portals take 8 to 14 weeks. The biggest drivers are how complex your pricing and schemes are and whether the ERP link is a daily file or a live two-way sync. After we see your price lists and schemes, you get a fixed quote within 48 hours.
Getting startedCan it work with Tally Prime?
Yes. Tally can exchange data through its XML interface when the Tally server is reachable, or through a connector that runs on the machine where Tally lives. If Tally sits on one office PC that switches off at night, we plan for that with queued syncs.
In IndiaWill the portal generate GST e-invoices and e-way bills?
Usually your ERP or Tally already handles e-invoicing through the IRP and e-way bills, and the portal shows the resulting IRN and e-way bill number to the dealer. We avoid generating them in two places. Your accountant should confirm which system stays the record.
Cost & timeHow do you stop one dealer seeing another's price?
Prices are calculated on the server for the logged-in account and never sent as a full list to the browser. Before launch we test with separate dealer logins across classes and record the results for you.
OwnershipWho owns the portal, the code and the dealer data?
You own the code, the hosting account, the domain and all dealer and order data. We hand over credentials and documentation at launch, so you can move to another team whenever you choose.
In IndiaWhat does the DPDP Act mean for dealer data?
Dealer staff names, phone numbers and emails are personal data under the Digital Personal Data Protection Act 2023. You need a clear notice, a lawful basis, sensible retention and a way to handle correction or deletion requests. We build the mechanics, and the policy wording should be checked with your adviser.
Getting startedCan our field sales team use it offline?
We can build a phone view that saves a draft order when the signal drops and sends it when the connection returns. Prices are rechecked on submission so an old draft cannot slip through at a stale rate.
After launchWho helps dealers who cannot log in or place orders after go-live?
A monthly care plan covers sync monitoring, scheme set-up help, dealer onboarding batches and fixes. If a sync fails, the portal keeps the last good data and we look at it within one working day.
