We build admissions chatbots that answer questions about eligibility, fees, documents and dates using only the material you approve. When a question needs a person, the chat passes to a counsellor with the full conversation.
↓Each question is matched to a line in your approved sheets, or handed to a counsellor
Admissions chatbots,explained without jargon.
What is an AI admissions chatbot?
One idea at a time. Each sheet lays over the last, so the picture builds up. Tap a number to jump.
It is like a well-briefed front desk volunteer who knows the prospectus by heart and calls a senior when a question goes beyond it.
It is a chat window on your website and WhatsApp that reads a question in plain words and replies from your own prospectus, fee sheet and FAQ.
It uses a language model to understand the question, then searches only your approved documents for the answer.
If the answer is not there, it says so and offers a counsellor call.
Every conversation is saved so your team can review and improve the answers.
Heard yourself say this?Count how many fit.
Five things owners tell us before a project like this starts. Every one you recognise adds a tally mark.
Tap the lines you have said this year.
One fits. Worth a short call to see if Admissions chatbots is the right fix.
Two fit. A short call will tell you whether to do this now or later.
Three fit. This is probably worth planning soon.
Four fit. You are losing time to this already.
All five. This page was written for you.
Six parts, all handed over to you.
Your Admissions chatbots work is made of these six parts. The comb lights each one in turn; tap a cell to read it.
Approved knowledge base
Your prospectus, fee structure, eligibility rules, document list, hostel and transport details turned into a clean source the bot answers from. Each answer can show which section it came from.
Website and WhatsApp channels
A chat widget on your admissions pages and the same assistant on your WhatsApp Business number. Parents continue where they left off on either channel when they share the same phone number.
Guardrails and refusals
Rules that stop the bot from promising seats, scholarships, fee waivers or results, and from guessing when your documents are silent. Sensitive topics such as reservations, RTE seats or disputes go straight to staff.
Counsellor handoff
A button or keyword that moves the chat to a named counsellor with the conversation history and the applicant's details. Leads arrive in your CRM or a shared sheet with a follow-up reminder.
Language support
Answers in English and the Indian languages your applicants use, checked by your staff for key terms such as programme names and fee heads. The bot replies in the language the parent writes in.
Logs and answer review
A panel listing every conversation, unanswered questions and handoffs, so your admissions head can add missing information each week. Personal data in logs is kept only for the period you set.

Each leg is sized by how long it usually takes. Watch the baton go round, or tap a leg to jump there.
The question we hear most:AI chatbot or a menu-based bot?
The board turns through each option. Tap one to hold it and read the trade-off.
Parents ask varied questions in their own words and languages, and your answers live in a prospectus and fee sheets.
It needs careful guardrails, regular log reviews and usage-based AI costs.
You get a handful of predictable questions and want fixed, pre-written answers.
Parents must tap through menus, and anything outside the menu ends up with staff anyway.
Four factors, four corners of your project.
Each corner grows when that factor is on the larger side. The outline is your project's footprint, and the quote follows it.
A compact project. The smallest footprint for your quote.
Mostly compact, with one area that needs more work.
A balanced build. Half the factors on each side.
A larger build. Most areas need extra work and time.
The full footprint. Every factor on the larger side.
Picture a business like yours,in three frames.
A typical situation, not a client story. The line in each frame goes from tangled to straight as the work is done.

Four things that trip a project, and the fix we fit instead.
Each fuse is a mistake we see often. Watch it blow and get replaced, or tap a fuse to read the fix.
Feeding the bot an outdated prospectus
Make updating the knowledge base part of your process whenever fees, dates or eligibility change.
Letting the bot answer reservation or quota questions on its own
Route category, RTE and quota questions to trained staff who can check the latest government rules.
Hiding the handoff to a person
Show a clear talk-to-a-counsellor option in every conversation.
Never reading the logs

Cost & timeHow long does it take, and what affects the cost?
Most admissions chatbots take 4 to 7 weeks, with testing taking the most care. Cost depends on how much content you have, the number of channels and languages, and how leads flow to your counsellors. There are also ongoing AI usage and WhatsApp charges that grow with the number of conversations.
Getting startedCan the chatbot give wrong answers?
Any AI tool can make mistakes, so we limit it to your approved documents, tell it to say when it does not know and test it against real questions before launch. Weekly log reviews catch problems early. You should still state on the chat that final details are in the official prospectus.
Getting startedWill it tell parents their child will get a seat?
No. The guardrails block promises about seats, scholarships, discounts and results. Those conversations go to a counsellor.
Getting startedHow do you handle children's and parents' data?
The bot asks only for what a counsellor needs to follow up, shows a short privacy notice and stores logs for a period you set. Applicants under 18 are covered by the DPDP Act's parental consent provisions, so check your consent flow with your adviser.
OwnershipWho owns the chatbot and its content?
Your institution owns the knowledge base, conversation logs, WhatsApp number and accounts. The AI model is used through an API account that can be in your name, and you can move the setup to another provider.
In IndiaCan it work in regional languages?
Yes. Current AI models handle Hindi and major Indian languages well for common questions. Your staff review key terms in each language before launch, since programme names and fee heads must be exact.
Getting startedCan it book campus visits or counselling calls?
Yes. It can offer open slots from a shared calendar and confirm the booking on WhatsApp. Staff see the booking with the chat history.
Getting startedWhat happens after the admission season?
You can switch the bot to answer current-parent questions, or pause it until the next cycle. On a care plan we update the knowledge base for the new cycle and keep reviewing logs, and you can cancel anytime.
