We build admissions portals where families fill forms, upload documents and pay fees online, and your team reviews everything on one dashboard. Each applicant moves through stages you define, from submitted to enrolled.
Your stages, your rules
↓One application file builds up each loop: form, documents, fee, then your stages
Admissions portals,explained without jargon.
What is an admissions portal?
One idea at a time. Each sheet lays over the last, so the picture builds up. Tap a number to jump.
Think of it as an admissions counter that stays open all night, takes a token for each family and never misplaces a file.
An admissions portal is a secure part of your website where applicants create an account, fill a form in steps, attach documents and pay the application fee.
Your staff see each application on a dashboard, check documents, add notes and move it to the next stage.
Families log back in to see where they stand and download admit cards or offer letters.
When the cycle ends, you export the admitted list to your ERP.
Heard yourself say this?Count how many fit.
Five things owners tell us before a project like this starts. Every one you recognise adds a tally mark.
Tap the lines you have said this year.
One fits. Worth a short call to see if Admissions portals is the right fix.
Two fit. A short call will tell you whether to do this now or later.
Three fit. This is probably worth planning soon.
Four fit. You are losing time to this already.
All five. This page was written for you.
Six parts, all handed over to you.
Your Admissions portals work is made of these six parts. The comb lights each one in turn; tap a cell to read it.
Multi-step application form
A form split into short steps for student details, parent details, previous schooling and documents, with saved drafts and phone number login by OTP. Fields change by grade or programme, so a Grade 11 applicant sees stream choices and a nursery applicant does not.
Document upload and checks
Uploads from the phone camera or files, with checks on type, size and page count, and a checklist that blocks submission until required items are attached. Staff can mark a document as rejected and ask for a fresh upload.
Fee collection and receipts
Application and admission fees through Razorpay or PayU with UPI, cards and net banking, plus automatic receipts and webhook-based status so a paid application never shows as unpaid. Your accounts team exports a reconciliation report by date.
Staff review dashboard
Filters by programme, stage, payment and missing documents, with comments, assignment to reviewers and bulk stage changes. Each action is logged with the staff member's name.
Stages, slots and letters
Configurable stages such as test, interaction, merit list and offer, with slot booking for interviews and generated admit cards and offer letters as PDFs. Applicants see the same stage on their status page.
Consent and data controls
A consent step for parents of applicants under 18, a privacy notice in plain language, and a retention setting that clears documents of applicants who did not join after the period you choose. Please confirm your retention period with your adviser.

Each leg is sized by how long it usually takes. Watch the baton go round, or tap a leg to jump there.
The question we hear most:Custom portal or an ERP admissions module?
The board turns through each option. Tap one to hold it and read the trade-off.
Your stages, fee rules or programmes are specific to you and you want the applicant experience to match your website.
It takes longer to build, and someone has to maintain it each cycle.
Your ERP already has an admissions module that fits your process and your staff know it.
Forms and status pages often look generic and are hard to change, and mobile use can be awkward.
You have a small intake with a single stage and few documents.
Payment matching, document checks and status updates stay manual.
Four factors, four corners of your project.
Each corner grows when that factor is on the larger side. The outline is your project's footprint, and the quote follows it.
A compact project. The smallest footprint for your quote.
Mostly compact, with one area that needs more work.
A balanced build. Half the factors on each side.
A larger build. Most areas need extra work and time.
The full footprint. Every factor on the larger side.
Picture a business like yours,in three frames.
A typical situation, not a client story. The line in each frame goes from tangled to straight as the work is done.

Running RTE quota seats through your own portal
Leave RTE 25% quota admissions to your state's RTE portal and lottery, and link to it clearly from your admissions page.
Asking for every document at the first step
Collect only what you need to shortlist, and request the rest after an offer so fewer families abandon the form.
Trusting the payment success page alone
Confirm payment status from the gateway's webhook so a dropped connection does not leave a paid family marked unpaid.
Keeping rejected applicants' documents forever
Set a retention period and delete documents of applicants who did not join once it passes.

Cost & timeHow long does an admissions portal take to build?
A single-stage portal with documents and fees usually takes about 8 weeks. Multi-stage portals with tests, merit lists and counselling take longer. Plan to start at least three months before applications open so there is time for a dry run.
Cost & timeWhat affects the cost?
The number of stages, how many programmes need different forms, the complexity of fees and whether you need ERP sync. We agree a fixed scope and price before work starts, and you pay in stages tied to design approval and launch.
In IndiaCan parents pay by UPI?
Yes. We connect Razorpay, PayU or another gateway you choose, which supports UPI, cards and net banking. Your institution opens the gateway account in its own name and completes its KYC, so payments settle directly to your bank.
Getting startedDo we have to handle RTE quota admissions in the portal?
No. In most states, RTE 25% quota admissions run through a state government portal with its own lottery. Your portal handles general seats and links to the state portal, and you should confirm your state's process with your adviser.
In IndiaHow does the portal handle children's data under the DPDP Act?
The form collects consent from a parent or guardian, explains why each document is needed and lets you set how long data is kept. The DPDP Rules phase in obligations over time, so check the dates and exact consent steps that apply to you with your adviser.
OwnershipWho owns the applicant data?
Your institution does. The database and document storage sit in your cloud account, and you can export everything at any time. We access it only to support the portal.
Getting startedCan we reuse the portal next year?
Yes. Your admin can clone last year's setup, update dates, fees and seats, and open a new cycle. Past cycles stay archived for reports.
Getting startedWhat happens on the last day when everyone applies at once?
We size hosting for your expected peak and load test before launch. On a care plan we watch the portal through the closing days and respond to issues first.
