/the right desk
We connect enquiries from your website, Meta and Google lead forms and property portals to one set of routing rules. Each lead lands with the right salesperson, and you can see who has not called back.
↓Each loop patches a different lead: a new buyer, an after-hours ad lead, a returning buyer, an NRI enquiry
Lead routing,explained without jargon.
What is lead routing?
One idea at a time. Each sheet lays over the last, so the picture builds up. Tap a number to jump.
It is like a good hotel front desk that sends each guest to the right floor instead of asking them to wait in the lobby.
Lead routing is a set of rules that decides who gets each new enquiry the moment it arrives.
The rules can look at the project, the locality, the budget, the language the buyer chose or the time of day.
The chosen salesperson gets an alert on WhatsApp and email, and the lead is saved in your CRM with its source.
If nobody acts within a time you set, the lead moves to a backup person or a team lead.
Picture a business like yours,in three frames.
A typical situation, not a client story. The line in each frame goes from tangled to straight as the work is done.

Heard yourself say this?Count how many fit.
Five things owners tell us before a project like this starts. Every one you recognise adds a tally mark.
Tap the lines you have said this year.
One fits. Worth a short call to see if Lead routing is the right fix.
Two fit. A short call will tell you whether to do this now or later.
Three fit. This is probably worth planning soon.
Four fit. You are losing time to this already.
All five. This page was written for you.
Six parts, all handed over to you.
Your Lead routing work is made of these six parts. The comb lights each one in turn; tap a cell to read it.
One intake for every lead source
Website forms, Meta lead ads, Google Ads lead forms and portal lead emails or APIs feed one intake point. Each lead is tagged with its source, campaign and project before routing.
Routing rules you can read
Rules are written as plain statements, such as 'Hinjewadi project leads in Marathi go to Team B', and your sales head can change them from an admin screen. Round-robin and weighted sharing are both available within a team.
Duplicate and returning buyer checks
If a phone number already exists, the lead goes to the salesperson who owns that buyer and is not sent to a new person. Your team sees the buyer's earlier enquiries in one place.
WhatsApp and email alerts
The assigned salesperson gets a WhatsApp alert with the buyer's name, project and preferred configuration, sent through the WhatsApp Business Platform. Buyers can receive an acknowledgement template if they opted in to WhatsApp messages.
Escalation and after-hours handling
Leads that are not marked as contacted within your chosen time move to a backup or team lead. Night and holiday leads get an auto-reply and join a morning queue.
Consent and source records
Every lead stores the consent text the buyer saw, the time and the page or ad it came from. This helps you answer questions about how you got a number and what the buyer agreed to.
- One intake for every lead source
- Routing rules you can read
- Duplicate and returning buyer checks
- WhatsApp and email alerts
- Escalation and after-hours handling
- Consent and source records
The question we hear most:Route inside your CRM or through a separate routing layer?
The board turns through each option. Tap one to hold it and read the trade-off.
All your leads already flow into one CRM and your rules are simple, such as one team per project.
Complex rules, WhatsApp alerts or portal sources may need paid add-ons or workarounds inside the CRM.
You have many sources, language or locality rules, or you might change CRM later.
There is one more small system to host and watch, which a care plan should cover.
Four legs of one relay, about 6 weeks, start to finish.
Each leg is sized by how long it usually takes. Watch the baton go round, or tap a leg to jump there.
Four things that trip a project, and the fix we fit instead.
Each fuse is a mistake we see often. Watch it blow and get replaced, or tap a fuse to read the fix.
Sending every lead to everyone in a WhatsApp group
Assign each lead to one named person so responsibility is clear and buyers are not called twice.
Using pre-ticked consent boxes on enquiry forms
Ask for consent with a clear, unticked choice and plain wording, and check the exact text with your adviser.
Ignoring leads that arrive at night
Send an instant acknowledgement and put the lead at the top of the morning queue with a time limit.
Dropping the ad source when leads reach the CRM
Carry the campaign and source fields all the way into the CRM so you can match spend to bookings.
Four factors, four corners of your project.
Each corner grows when that factor is on the larger side. The outline is your project's footprint, and the quote follows it.
A compact project. The smallest footprint for your quote.
Mostly compact, with one area that needs more work.
A balanced build. Half the factors on each side.
A larger build. Most areas need extra work and time.
The full footprint. Every factor on the larger side.
Lead routing questions,answered plainly.
Search the answers. If yours is missing, ask us on the call.
Cost & timeWhen will leads start reaching the right salesperson, and what changes the price?
A setup with website forms, one ad platform and a single CRM usually takes 3 to 4 weeks. More sources, two-way CRM sync and detailed reporting add time. Share your lead sources and team list, and the routing quote follows within 48 hours.
Getting startedWhich CRMs can you connect to?
We can connect to CRMs such as Zoho CRM, LeadSquared, Salesforce and HubSpot through their published APIs, and we can work with real estate CRMs that accept leads by API or web form. If your CRM has no API, we can send leads by email in a fixed format as a fallback.
Getting startedDo we need the official WhatsApp Business Platform?
For automated alerts and buyer acknowledgements at volume, yes, since the regular WhatsApp Business app has no automation interface. Messages outside a 24-hour reply window must use templates approved by Meta, and Meta charges per message by category. We set up the account in your company's name.
In IndiaWhat does the DPDP Act mean for our leads?
The Digital Personal Data Protection Act 2023 expects a clear notice and consent for collecting a buyer's details, and a way to withdraw consent. The DPDP Rules notified in November 2025 phase in over the following months. We build consent capture and records into the forms, and your adviser should confirm the wording and your obligations.
Getting startedCan portal leads be routed automatically?
Many property portals send leads by email or through a lead API or CRM integration for paying advertisers. We read whichever option your portal account offers. Where only email is available, we parse the email into a lead record.
OwnershipWho owns the routing system and the lead data?
You do. The WhatsApp account, CRM, hosting and code are in your name, and leads can be exported at any time.
Getting startedCan we call buyers who registered on the DND list?
A buyer who enquires with you has asked to be contacted about that enquiry, which differs from cold promotional calling. TRAI's rules on commercial communication still apply to SMS and marketing calls, including DLT registration for SMS. Ask your adviser how these rules apply to your follow-up pattern.
After launchWhat happens after launch if a lead goes missing?
Every lead and every alert is logged, so we can trace where it stopped. On a care plan we watch for drops in lead volume and failed alerts, and fix delivery problems before other requests.
Works well alongside, from the same industry kit.
Stop losing buyers between the form and the first call
Tell us where your leads come from and who handles them, and we will map the rules on our first call.
